Job Summary:

The Registration and Scheduling Assistant exists to process class and room scheduling; to provide registration services primarily for the Evanston campus, and to support CAESAR self-service functions for the entire NU community. Informs and advises users regarding scheduling and registration processes and policies. Assigns classrooms for classes and events through RES/25Live. Regularly corresponds with department contacts through email and listserv. Presents at quarterly trainings for staff. Participates in system testing for updates, modifications, and fixes.

Specific Responsibilities:

Documents & Databases

  • Enters information into spreadsheets &/or databases.
  • Ensures that all Registrar listservs, spreadsheets, access databases, etc. are up to date.
  • Processes quarterly class scheduling information from academic departments.
  • Assigns classrooms for classes and other events.
  • Provides support for departments during catalog editing.
  • Participates in system testing for updates, modifications and fixes.

Website

  • Coordinates content maintenance of websites & help documentation.

Coordination

  • Coordinates events which may include scheduling rooms.
  • Generates and delivers reports of on campus events to relevant stakeholders on campus.
  • Supports Registrar's Office trainings as needed.

Student Services

  • Guides students through registration process.
  • Processes cross-school registrations
  • Applies knowledge of federal & state regulations.
  • Interprets existing policies & procedures; etc.
  • Informs students, faculty, and staff regarding scheduling and registration policies.
  • Supports all CAESAR users (faculty, staff, students and advisors) via the CAESAR support hotline, in person, student information sessions, and via email.
  • Part of a team of program assistants that rotates coverage of the Registrar's Office front desk/reception during certain times.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • A high school diploma or equivalent required.
  • 2 years of administrative support or other relevant experience required.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Intermediate knowledge of word processing, spreadsheet, email, and database software programs is required.

Preferred Qualifications:

  • Familiarity with the PeopleSoft Campus Solutions, 25Live scheduling software, and Leepfrog CLSS and CAT.
  • Experience working in an academic environment.

Preferred Competencies: (Skills, knowledge, and abilities)

  • Proficiency in Microsoft Excel.

Target hiring range for this position will be between $22 - 24 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
