We Are Inspired to Serve. Join us!This role is responsible for providing support to the Philanthropy Department of Covenant Living Communities & Services. The position is accountable for providing gift-processing assistance, acknowledgement letters, database maintenance, and donor-related administrative support.

Entry-Level Gift Processing

  • Check the CovLiving Giving and Gift Processing email accounts every morning, and within a set timeline, complete the following:
    • 1) Commit all standard gifts and pledges into Raiser's Edge (RE),
    • 2) Save email backup in the daily Gift Processing folders on the shared drive, and
    • 3) Archive emails in the cabinet folders for each community
      • Use flags and labels to mark progress on each email, in email inbox
      • Notify Philanthropy Operations or Directors of Philanthropy (DOP) of gifts to indicated community
  • Complete Gift Processing for all communities:
    • Process gifts (online gifts in the Giving inbox, community specific through Gift Forms in the Gift Processing email, and outliers, such as gifts through the Central Office) in in RE and RE NXT
    • For ancillary gifts, commit payroll deductions twice a month, recurring monthly bills by the 15th of each month
    • On a weekly basis, communicate any "outlier gifts," challenges, or community setbacks to Philanthropy Operations
    • Upload gift backup and attachments into the Media tab, for past and current gifts
    • Communicate with Directors of Philanthropy to answer questions

Gift Acknowledgement

* Generate gift acknowledgement correspondence from the Office of Philanthropy to send to Directors of Philanthropy

  • On a daily basis, generate letters for IRS and stock gifts, specifically
  • At year-end, generate giving statements for all donors, by primary donor community/site affiliation

Donor Correspondence

  • Liaise with Directors of Philanthropy regarding tribute (memorial or honor) gifts
  • Inform families of memorial or honor gifts through written correspondence within a set timeframe for all Covenant Living communities and locations

Entry-Level Database Management

  • Help maintain constituent and tribute records through Donors Services email
    • Input new prospects and constituent records
    • Update existing records with middle names, initials, and other
    • Update records of constituents who have passed away
    • Switch primary and relationship constituents within records
    • Merge duplicate constituent records, while maintain all existing information
    • Update constituent addresses as informed
    • Maintain the integrity and health of the data
  • Provide entry-level analytics within donor database
    • Assist in developing simple queries and reports, to support the Form 990 and other efforts
  • Verify accuracy and promote continuing education around the database
  • Communicate with Directors of Philanthropy to answer questions

Other

  • Support the Regional Director with other administrative projects, as needed
  • Support the Philanthropy Project Manager with monthly credit cards reconciliations
  • Assist with monthly gift processing audits and reconciliations for Director of Philanthropy gift processing entries
  • Provide support by contacting customer service with outstanding questions and cases
  • Handle confidential and/or sensitive information with high level of discretion
  • Other duties as assigned

EDUCATION AND WORK EXPERIENCE:

Education:

Bachelor's degree preferred, or an equivalent of education plus experience.

Experience:

This position requires a minimum of one year's experience providing support in a fast-paced organization, with a preference for two years of development or fundraising administrative experience in a non-profit organization or related experience is preferred

Additional Experience:

  • At least one year of demonstrated expertise with Blackbaud's RE database, RE NXT Pro, eTapestry, or other donor database or customer relationship management platform
  • Experience with Crescendo Interactive is a plus
  • Possess strong oral and written communication skills and exceptional computer skills; fluency in Microsoft Office (Word, Excel, PowerPoint, etc.) is essential

Skills:

  • At least 1 year of demonstrated expertise with Blackbaud's RENXT Pro, eTapestry, or other customer relationship management platform

  • Possess strong oral and written communication skills and exceptional computer skills; Microsoft Windows (Word, Excel, PowerPoint) is essential.
  • Highly organized, with exceptional attention to detail.
  • Demonstrates sound judgment, ability to manage and prioritize multiple tasks, and work independently.
  • Ability to initiate tasks, be creative in problem-solving and very diplomatic in personal and phone communication.
  • Proven ability to take initiative, be resourceful, and be willing to take direction.
  • Willingness to learn and ability to work as part of a team and support multiple staff members as necessary.
  • Openness and ability to manage competing priorities

PHYSICAL REQUIREMENTS:

  • Job demands a variety of physical duties including office work, exposure to outside environment, and occasional physical exertion considered light- to medium-duty work.Mobility is necessary to move about.This position requires occasional handling of generally lightweight materials and the physical ability to use various types of office equipment as well as some small hand tools.Has minimal risk of exposure to potentially infectious material as a part of the routine job functions.
