Position Description

The American Hospital Association (AHA) is the national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. We are currently seeking an Administrative Assistant in AHA Solutions. AHA Solutions, Inc. (Solutions) is a for-profit subsidiary of the American Hospital Association (AHA) specializing in the design, development, and marketing of innovative technology, risk and financial resource management products, services and strategic partnerships for the health care marketplace. Solutions follows a business model of strategic partnerships and affiliations to offer creative business solutions for the health care market.

Purpose

The Administrative Assistant will work directly with the VP of Operations and Account Services and the 4 FTEs in the Account Management group to help provide the entire team with administrative support.

Essential Functions

Schedule meetings and conference calls between Solutions' staff, endorsed partners, hospital members and Advisory Committees.
Print, organize and file all activity reports (Word, PowerPoint and Salesforce.com reports), which document our value to partners
Work with our endorsed partners to obtain and track commission and sales reports.
Shared administrative responsibilities including sorting of the incoming mail, stock refreshments, and daily break room cleaning, routing magazines, keeping library/marketing room up-to-date
Coordinate travel arrangements for the Account Managers (Air, Hotel, Vehicle transportation)
Data entry into internal database (Salesforce.com) of all information related to endorsed partner activities
Maintain contract files for Account Managers
Work with account manager on creating and maintaining partner communication calendars
Input personal vacation days into the master calendar located with the administration
Qualifications

3-5 years administrative experience
High school diploma is required
Effective communication skills
Detail-oriented team player
Independent in a fast paced environment
Flexible, prioritize tasks, time efficient
Proficient with MsWord, PowerPoint, Excel, database management
Type 60wpm
Salesforce experience is a plus
