Here is an opportunity to join the Home Care Department of Virtua Health where caring is at the core of our patient care culture. Virtua Home Care is a large, Medicare-certified home health agency that provides multidisciplinary skilled services in Burlington, Camden and Gloucester counties. We are seeking candidates for the position of Manager Administrative Services. This role reports to the AVP/Administrator of Home Care and has responsibility for managing daily operations of home care administrative/support services including Medical Records, the Clinical Documentation Improvement Specialists and Coders Department, the Home Care IT support team, Reception and Payroll. As a member of the Home Care leadership team, you will develop, implement, and monitor process improvements while ensuring compliance with regulatory guidelines, policies and procedures. Management/Supervisory experience is preferred.
Job Summary:
Manage daily operations of home care administrative services including Medical Records, Reception and Payroll. Responsible for daily workflow adjustments to maintain smooth operations, develop departmental goals and implement and monitor performance improvement measures while ensuring compliance with regulatory guidelines, policies and procedures. Provide ongoing communication of pertinent issues.
Position Responsibilities:
Manage daily operations of Medical Records. Preserve the integrity of the legal health record and ensures adherence to all regulatory guidelines, policies and procedures. Ensure disclosure of patient information to appropriate parties, release of information in accordance with applicable guidelines and response to subpoenas and legal requests are completed in a timely manner. Oversight of medical record coding and clinical documentation improvement. Perform periodic quality audits and reviews.
Manage department operations to ensure appropriate billing of services. Oversight of daily activities related to insurance verification, managed care authorizations, etc. Manage orders tracking of providers and implement process improvements to ensure timely signing of physician orders to facilitate the home health billing process.
Monitor status of "Discharge Not Billed" work queues and take appropriate action to resolve issues. Publish performance metrics for each division. Collaborate with Department peers for issue resolution in a timely manner.
Management of front desk personnel and activities to facilitate responsive and timely direction to incoming customers.
Provide audit reports to support Home Health department leadership for API/payroll processing and performance improvement.
Evaluate employee performance, administer agency work rules and follow process for disciplinary actions. Identify staff educational needs and provide training to address knowledge deficits.
Position Qualifications Required:
Required Experience:
Requires three to five (3-5) years knowledge of HIM requirements; insurance verification, CDI and coding. Excellent communication skills, organizational and customer service/teamwork skills required. Ability to be detailed-oriented and perform tasks at a high level of accuracy. Provide analytical reports for operational tracking. Ability to make sound decisions and provide guidance. Prior experience with an electronic health record system preferred. Knowledge of medical terminology preferred. Management/Supervisory experience preferred.
Required Education:
Graduate of an approved school of Health Information Management, Bachelor of Science degree in Health Record Administration, or related field preferred
Training / Certification / Licensure:
OASIS and/or HIM certification a plus. Will require OASIS certification within 1 year following successful completion of probationary period.
