Summary of Job Duties:Summary:
The Administrative Specialist II is responsible for researching & preparing special reports, examining & verifying documents, & performing general office duties.

Duties:
Communicates effectively, respectfully, and accurately with all staff, as observed with supervisor. Communicates timely to supervisor any schedule changes or needs. Demonstrates appropriate customer services skills to internal and external customers.

Drafts correspondence according to supervisor's and extension staff instructions or standard format with no more than 3 typos or grammatical errors. Composes, compiles, edits, prints and enter data for various reports, narratives, newsletters, and training materials from rough draft with no more than 3 errors. Use technology effectively to complete reports, handouts, budgets, and data entry, as observed by extension staff and supervisor. Files all paperwork properly within the week it is received, as observed by supervisor. Completes travel, leave request, requisitions, and publication orders promptly, as observed by supervisor. Maintain and updates electronic mailing list within a defined time period or as instructed by extension staff or supervisor. Maintain files and routinely consolidate and/or destroy inactive files according to the established Extension policies within appropriate time frame.

As observed by supervisor, employee interacts effectively with peers and the public to accomplish assignments, while showing respect for others with no documented complaints. Is able to locate and understands the institution's non-discrimination policy and objectives with accuracy, as observed by supervisor. No documented complaint that employee does not cooperate and is unwilling to assist co-workers and clients. Uses appropriate letterhead, statements, and announcements reflecting Extension's non-discrimination policies at all times. No documented complaints of the employee mistreating or displaying a demeaning attitude or behavior, including inappropriate ethnic, race, religion, age, or gender jokes and/or comments in the workplace.

Assumes responsibility appropriate to the job, as observed by supervisor. Takes initiative to get the job done, even if not specifically told to do so. Acts decisively on critical issues. Completes work despite obstacles.

Produces high quality work without documented complaint by supervisor. Properly maintains records and equipment without supervisor complaint. Takes action to develop or acquire skills that enhance job effectiveness, monitored randomly by supervisor. Verifies information for clarity and seeks feedback as observed by supervisor. Clarifies expectation with specialist and supervisor about what needs to be done and how to do it without observed infractions. No documented complaint about failure to perform task due to non-job-related activities.

Uses time and resources constructively without delays in completion of requested assignments and/or job task. To be monitored by random review of work. Organizes and prioritizes tasks effectively to meet outlined deadlines within the expected time frame with minimal delays, as observed by supervisor. Follow attendance and leave policies by reporting to work on time on a daily basis and scheduling leave so that it does not interrupt or interfere with completion of job assignments and/or job duties. Monitored by supervisor observation and leave records. Exhibits professionalism in behavior and personal presentation with no documented complaints. Monitored by supervisor observation. Ensures that the security of confidential information is not compromised, without any documented infractions, as monitored by supervisor. Builds trust and credibility by demonstrating reliability and consistency with work performance as directly observed by supervisor. Demonstrates flexibility and adaptability to understand and adopt necessary changes to established practices. Monitored randomly by supervisor.

Supports and work closely with supervisors and colleagues to implement decisions which benefit the entire FCS unit, as monitored by supervisor. Exhibits ability to bring people together to accomplish the task at hand, as observed by supervisor. Contributes positively to the FCS unit without documented negative incidents, as observed by supervisor. Works well in group settings and lends support to co-workers to accomplish assignments, displays a positive attitude and collaborative spirit without documented incidents, as observed by supervisor. Team members are treated with respect and consideration, as observed by team and supervisor. Monitors voice and conversation levels to ensure a professional environment as monitored by supervisor and staff. Works effectively with extension staff to effectively address the needs of clients, agents, and co-workers. Behavior will be monitored randomly by extension staff and supervisor.Qualifications:

Minimum Qualifications
The formal education equivalent of a high school diploma; plus two years of experience in a specialized or related area applicable to work performed.
