The Job: The Payroll Administrator will be responsible for the accurate processing and auditing of the Museum's bi-weekly union and non-union payroll. This position is responsible for auditing all payroll reports, tax filings and resolving all payroll questions.
Responsibilities:
Manages bi-weekly payroll, including garnishments, direct deposit, termination, new hires, relocation, education reimbursement, taxable and non-taxable benefits, and taxes consistent with federal and state wage and hour laws.
Complies with federal, multi-state and local legal requirements by studying existing and new legislation, enforcing adherence of requirements, and advising management on needed actions.
Manage/maintain general ledger (GL) coding module and process, as well as relevant records in the payroll system.
Prepares and reconciles the bi-weekly payroll journal entry and performs the monthly/quarterly journal entries for accrued payroll/vacation. Tie-out results for each payroll to ensure accuracy.
Partner with HR to align and implement sophisticated payroll and benefits processes.
Ensure payroll and time tracking systems are set-up and updated to reflect our current employee base, including wages, benefits, sick and vacation time.
Manage regular preparation of relevant management reports, including weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.)
Develops and maintains effective working partnerships with third party administrators including payroll service provider (ADP).
Participates in monthly financial analytical review processes, including wage forecasting.
Reviews and prepares information and schedules required for various audits, annual financial statements, insurance coverage, 401(k), Federal, State and Local tax authorities.
Continually reviews payroll work practices for better operational efficiency; creates & maintains payroll guidelines by writing and updating policies and procedures.
Proactively identifies and resolves potential issues in payroll transactions and processes.
Demonstrates an interest to learn, grow, and contribute in other areas of finance and accounting.
Qualifications:
Three (3) to five (5) years' experience running an independent full cycle payroll required
Bachelor's degree a plus
Knowledge of ADP (WFN, eTIME, etc.) payroll system is strongly preferred
Familiarity with SAP Concur expense reporting software is a plus
Proficient in MS Office with an advanced proficiency in Excel
Strong written and verbal communication skills
Must demonstrate a customer focused approach
Must be a team player and have the ability to work with diverse teams
Must be highly organized and detail oriented
Must demonstrate the utmost integrity, discretion, and confidentiality
Certified Payroll Professional is a plus
