Job Description

General Summary:

Reports to the Director, Research Support Office, Stanley Manne Children's Research Institute, and is responsible for serving as supervisory leader for all operational administrative duties in the Neighborhood operations including, but not limited to neighborhood financial management, academic appointments and renewals, visa processing, onboarding activities specifically for employees at the Simpson Querrey research building. Manager, Basic Sciences Post-Award Support will serve as trainer and mentor to Research Administrative Managers and will assist in troubleshooting on a case by case basis. Manager, Basic Sciences Post-Award Support will assist Principal Investigators (PIs) by providing portfolio management, onboarding and staffing, purchase approvals, and Neighborhood organizational assistance. Ensures the smooth daily operation of the Neighborhoods and supports the faculty researchers, research associates, postdoctoral fellows, graduate students and laboratory technicians.

Essential Job Functions:

  • Will act as managerial lead for all operational administrative duties related to staffing needs in the Neighborhood operations including, but not limited to academic appointments and renewals, visa processing, onboarding activities specifically for employees at the Simpson Querrey research building

  • Will train and provide continuing education to Research Administrative Managers in collaboration with Manager colleagues in Research Support Office groups.

  • Actively engages with subordinates in support of their professional goals and collaborate with Director to ensure team positive morale and commitment to mission

  • Collect, enter and analyze team performance metrics for reporting and improvement purposes

  • Engages with Director, RSO Manager Colleagues, Leadership throughout SMCRI to review inter-team collaboration for efficiencies in research administration workflows, standard operating procedures for continuous improvement in service provision.

  • Interprets and advises PIs and Lurie Children's staff on Federal, State and institutional policies, procedures, guidelines, and deadlines in conjunction with the Office of Sponsored Programs (OSP).

  • Assists PIs in managing external grants and contracts, planning and carrying out research programs and goals to assure compatibility with available resources.

  • Supports PIs and Office of Sponsored Programs, Sponsored Research Finance Office, and Office of Research Business Operations staff in oversight and monitoring of sponsored projects.

  • Reviews Neighborhood fund accounts consistent with approved budgets in coordination with Sponsored Research Finance Office. Assists in preparing and organizing the Neighborhood budget(s), reconciling expenses and financial reports and Synchronize planning for each funding source into an integrated, holistic strategy for entire PI's portfolio.

  • Assists with new faculty recruitment and works with the Department of Pediatrics and Northwestern University collaborators to coordinate new faculty appointments.

  • Works with Lurie Children's Human Resources department to recruit staff and fill vacancies, completing necessary requisitions and related documentation consistent with Hospital policy.

  • Works with Lurie Children's Human Resources department, Northwestern University and outside law firms to assist faculty and staff with Visa and green card applications.

  • Assists with the operations of Neighborhood programs with direction from the Neighborhood Lead(s); liaising with collaborating Lurie and NU departments and divisions including HR, Payroll, AP, NU OISS.

  • Assists the Neighborhood Lead(s) and/or PIs with new employee onboarding and orientation. Assists Neighborhood Lead(s) with preparation of confidential paperwork related to faculty and staff performance evaluations as well as any ongoing performance needs. Serves as impartial contact for staff and faculty as hiring manager of record in any performance or work duty inquiry.

  • Provides training and mentorship for Research Administrative Managers and Lurie colleagues on operations and administrative workflows specific to SMCRI Neighborhoods

  • Other job functions as assigned.

Knowledge, Skills and Abilities:

  • Education: Bachelor's degree in relevant field is required.

  • Job Related Experience: Eight to Ten years administrative experience required in research administration, preferably in a scientific setting with exhibited experience in mentorship and leadership.

  • Expertise with both PC and Mac computers is preferable. Experience with desktop publishing and programs such as Word, Excel, PowerPoint, EndNote, Adobe Photoshop and ability to insert figures, etc. Demonstrated working experience with computer-based proposal management systems and databases preferred.

  • Must have excellent organizational and prioritization skills to effectively manage priorities of multiple team members.

  • Ability to provide high level of quality customer service to team members, employees, management staff, in addition to external customers.

  • Excellent analytical and process/systems thinking skills; excellent problem-solving skills.

  • Strong communication and organizational skills.
