Vedder Price's Chicago office is looking for a Senior Billing Specialist. The Senior Billing Specialist is primarily responsible for ensuring accurate, timely, and adequately-detailed client billing by supporting assigned attorneys with client accounts. We are looking for someone who has experience with system updates, improving processes, and providing innovative ideas. This is a hands-on position that involves working independently and proactively on all aspects of the day-to-day billing with all offices.

Applicants who possess the 3E/Elite accounting software and 5+ years of legal billing experience requirements may be eligible for a sign-on bonus at the time of hire.

As the Senior Billing Specialist, your job duties will include but are not limited to:

  • Responsible for accuracy and completeness of billing based on client guidelines
  • Review and edit proformas in response to attorney and secretary requests
  • Apply retainer funds as directed by attorney
  • Process write-offs following Firm policy
  • Ability to execute complex bills in a timely manner
  • Ability to understand Exception rates, Discounts, Multipayor, and Electronic Billing
  • Handle a high volume of bills per month
  • Effectively interact and communicate with attorneys, secretaries, and clients
  • Review and verify accuracy of billing and provide supporting documentation as required
  • Research and respond to inquiries regarding billing issues and problems
  • Create billing reports and spreadsheets for analyses as required
  • Monitor and manage WIP and AR on assignment
  • May assist in preparing documentation for exhibits in court
  • Assist with training and mentoring of new employees and less experienced billing staff
  • Successfully manages the billing operation of the Firm's largest and most complex client relationships, involving intricate billing arrangements, acts in an advisory capacity to their attorneys on billing matters
  • Administrative responsibilities are consistently well-maintained (rate updates, split billing updates, electronic submissions/appeals and unallocated balances)
  • Assist in Rate Maintenance - Annually and Ad Hoc
  • Assist in Time Conversions and month-end close process
  • Other duties as assigned

Qualifications & Required Experience:

  • Bachelor's degree preferred
  • 5+ years billing experience in a law firm environment required
  • Elite or 3E accounting software experience required
  • Electronic Billing experience is required
  • Position also requires the ability to work under pressure to meet strict deadlines

Computer Skills:

To perform this job successfully, an individual must be proficient in the following software:

  • Elite or 3E accounting software experience required
  • Proficient with MS Word and Excel
