The Opportunity

We are seeking a Senior Accounts Payable Coordinator (mid-level) to join our Firm.This position will be based in our Chicago office (hybrid).This position assists with the daily operations of the department including coordinating workflow, processing accounts payable transactions, reconciling accounts, and maintaining databases. Handles complex department assignments and special projects as needed. Oversees and assists with the management of client escrow accounts. Assists with monthly and annual budget documentation and back-up as needed.

  • Oversees department workflow, prioritizes assignments, identifies additional resources, and employs problem-solving techniques to complete assignments and meet deadlines.
  • Assists with special projects as needed.
  • Processes petty cash vouchers and advances and enters information into accounting system for reimbursement. Conducts reconciliation of petty cash account.
  • Processes checks for filing fees and miscellaneous operating expenses while ensuring appropriate documentation and approval.
  • Maintains database of checks written and manages monthly reconciliation of filing fees and checking accounts.
  • Conducts reconciliation of monthly use of Chicago office credit card.
  • Sorts and distributes rush checks from NY office.
  • Codes and processes invoices utilizing accounting software, obtains and verifies appropriate approvals, and allocates expenses as appropriate. Responds to inquiries as needed and follows up on past due notices.
  • Handles Aderant input for escrow transactions.
  • Provides Escrow account balance information as needed.
  • Assists with the transferring of escrow account funds.
  • Assists with department budget queries and processes transfers as needed.
  • Reviews, signs, and processes accounting system sessions and expense reports. Follows up as needed with support staff and attorneys when additional information is required.
  • Maintains inventory of safe contents.
  • Responds to office inquiries and handles or directs to appropriate contact as needed.
  • Creates and maintains vendor and department files.
  • Acts as resource for department staff.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operations, policies, and procedures.
  • Performs frequent physical exertion including: sitting, repetitive use of both hands, lifting and carrying up to 10 pounds.
  • Performs other related duties as assigned.

Qualifications

  • Knowledge of firm accounting and relevant computer software programs (e.g., Aderant, Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Knowledge of or ability to learn escrow processes
  • Demonstrates close attention to detail
  • Ability to handle complex issues and duties requiring logic, reasoning skills, interpretation and judgment to solve problems
  • Ability to perform basic mathematical skills
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work well independently as well as effectively within a team
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

EDUCATION AND EXPERIENCE:

  • Associate's degree or an equivalent amount of education and experience
  • Minimum of four years' experience with accounting-related functions
