Target hiring range for this position will be between $55,128-$55,130 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Job Summary:

This is a full time, exempt benefits eligible position reporting to the Associate Athletics Director for Events & Facilities. The coordinator is responsible for special events coordination, visitor hospitality, and assisting with day-to-day operations for Walter Athletics Center. In addition, this position will provide supplemental administrative support to the Event & Facilities, and Operations departments, and will provide ancillary support to the Executive staff as required and to the Business Office for the operations of Athletics Camps & Clinics.

*Willingness and ability to work a non-traditional schedule including evenings, weekends and holidays as required. *

Responsible for adhering to all Department and University policies and procedures, as well as the rules, regulations, bylaws and interpretations of the Big Ten Conference and the NCAA.

Specific Responsibilities:

* Coordinate and oversee special internal and external events within Walter Athletics Center, as assigned

* Plan, organize, coordinate, and direct special events as required

* Act as event liaison between the client and vendors

* Responsible for third party management of delivery vehicles, photographers, florist, catering, and transportation services to ensure seamless presentation and positive brand experience

* Generate all correspondence to clients, including proposal letters, and thank-you letters as necessary

* Develop concepts and designs, and coordinate promotional materials and invitations; and direct logistical planning.

* Support coordination of social media platform marketing to include Northwestern University and NUDAR websites; other social media platforms as required.

* Maintain records on event activities, progress, status, and post event summary

* Attend event to oversee activities and ensure details are handled as planned

* Address any issue that may arise and will remain on site after the event is over to ensure proper clean up

* Work with and give guidance to volunteers and staff involved in event planning and execution

* Monitor delivery of goods and services to ensure contract terms are satisfied

* Assists in sourcing and generating additional revenue opportunities through rental events.

* Provides Secondary support for the administrative assisting for greeting visitors, answering phones, responding to inquiries, requests & provides routine information.

* Host tours of NUDAR Facilities as directed.

* Provides scheduling support for Athletics & Recreation spaces.

* Assist department with various aspects of camps and clinics including, but not limited to, scheduling, assisting with equipment order, managing traffic flow, and business and personnel operations.

* Provides hospitality support for assigned athletic department events.

* Responsible for adhering to all Department and University policies and procedures, as well as the rules, regulations, bylaws and interpretations of the Big Ten Conference and the NCAA.

* Responsible for adhering to all Department and University continuing education initiatives and required certifications and trainings.

* Other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

* Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.

* 1-year administrative support or other event planning and operational experience preferred.

* Functional knowledge of word processing, spreadsheet, email, and database software programs.

* Excellent written and verbal communication.

* Knowledge of rules and regulations of the NCAA, Big Ten Conference and Northwestern University preferred.

* Ability to work cooperatively with others and effectively interact with diverse populations.

* Ability to establish engaging relationships within and across racialized and other marginalized communities.
