Function:

AdministrativeJob Summary:

The position of Administrative Assistant - Operations Support, performs a wide range of confidential administrative duties supporting Distribution Facilities (DF). This position takes direction from Lead Administrative Assistant and is responsible for overall administrative support and analysis. The incumbent will make continuous use of accounting, technical, and business vocabulary, will rely on organizational procedures, and will be required to make independent decisions.

Job Description:

  • Supports the contractor safety approval process and serves as a liaison between ISNetworld, DF locations and contractors
  • Updates and maintains Procurement database with certificate of insurance documents
  • Serves as the liaison with Corporate Purchasing and Procurement. Assists in entry of requisitions and new vendor requisitions in Avantis.
  • Provides Accounting invoice support for DF field supervisors, reconciles monthly procurement credit card purchases for all regions
  • Processes monthly telecommunication invoices for all DF sites
  • Provides assistance as needed for entire DF team; generates daily, weekly & monthly reports; maintains supplies inventory; serves as Fire Marshal
  • Updates and maintains various manuals as needed
  • Travel arrangements as requested and processing of expense reports
  • Assists with the Annual Medical Recertification Program by generating reports, facilitating with third party medical providers, and maintaining confidential employee medical records
  • Provide clerical assistance as needed including mail delivery/pick up, maintain files, scan, photocopy, assist in generation of power point presentations, reserve conference rooms, order food service and technology setup for meetings, maintains office supplies, process invoices and other projects as assigned
  • Processes Employee ID Cards for DF employees through Full Identity, Inc.
  • Provides OpenText document management leadership
  • Serve as back up to Lead Administrative Assistant and EHS Support Administrative Assistant
  • Complete other duties or special projects as assigned

  • Qualifications
  • Five years administrative experience
  • Advanced proficiency with MS Office and overall affinity and interest in new technology
  • Multi-tasker who works independently and is self-motivated
  • Excellent organizational, time management and leadership skills, excellent verbal and written communication skills, strong analytical and financial skills
  • Background in accounting is beneficial
