Position Summary:

The Executive Assistant provides comprehensive administrative support, enabling Executives to focus on critical business matters. They optimize efficiency by proactively managing schedules, anticipating needs, resolving conflicts, prioritizing tasks, and effectively project managing strategic initiatives on behalf of the Executive.

Position Responsibilities may include, but not limited to:

  • Provide comprehensive administrative support, including coordinating travel, managing expenses, overseeing office management, and handling tasks that don't require the Executive's direct input
  • Proactively anticipate issues and take preventive measures, such as adjusting travel arrangements or resolving scheduling conflicts, without explicit direction
  • Strategically manage the Executive's schedule, balancing professional and personal responsibilities, safeguarding time, and prioritizing and streamlining tasks, whenever possible
  • Coordinate and manage end-to-end logistics for events and meetings hosted or attended by the Executive, handling details such as catering, AV setup, visitor badges, creating the agenda, etc.
  • Prepare the Executive for meetings by gathering and summarizing background information into briefing materials. Prepare presentations, reports, and correspondence, with pertinent information
  • Oversee strategic initiatives on behalf of the Executive, coordinating timelines, following up on deliverables, tracking progress, and producing basic presentations
  • Exercise independent judgment and make appropriate decisions without close supervision
  • Serve as the Executive's representative in meetings, reporting back, as needed
  • Draft communications on the Executive 's behalf, as appropriate. Identify and bring crucial issues to the Executive's attention
  • Other projects or duties as assigned
