Job Description

POSITION SUMMARY:

The Practice Assistant will provide high-quality administrative and practice support to legal support staff and practice group teams. This position works closely with Practice Coordinators and is responsible for a wide range of administrative and organizational tasks supporting both litigation and transactional practice group teams. The ability to communicate and interact accurately and professionally with staff, attorneys and/or clients and ensure strict confidentiality always is essential in this role. This position requires a high level of attention to detail, responsiveness, critical thinking skills, professionalism, and the ability to manage and prioritize multiple priorities effectively.

DUTIES AND RESPONSIBILIITES

  • Provide administrative services support, such as editing documents in MS Office programs such as Word, PowerPoint and Excel, organization of electronic and paper documents, and preparing and responding to correspondence.
  • Coordinate and manage calendars, matter related deadlines, and travel schedules.
  • Liaison with Partners and Billing Coordinators to ensure invoices are accurate and compliant with client billing requirements and deadlines; assist partners as needed with billing process, reporting, vendor payments, and follow up.
  • Assist with opening new client and client matters, drafting engagement letters, and the conflicts process.
  • Provide support to attorneys in preparing for client meetings, deal closings, hearings, trials, depositions, and other client related project support.
  • Assistance with travel planning and reimbursements, including obtaining receipts and folios from hotels.
  • Coordinate management of attorney memberships in courts, bar associations, and professional organizations.
  • Assist with Business Development projects for attorneys including managing attorney contact lists, sending out invitations, working with Marketing and Concierge teams on event logistics, and other misc. BD tasks.
  • Assist attorneys with Firm related responsibilities and leadership roles.
  • Provide other assistance as needed to support client relationships, practice management, and the firm.

BASIC QUALIFICATIONS (Must be listed on resume to be considered):

  • High School diploma or GED equivalent required, bachelor's degree a plus.
  • 1 + year of administrative support experience in a professional services environment required.
  • Ability to be onsite 4 days a week, with flexibility for 5 based on attorney needs, or changes to Firm expectations.
