The Department of Pediatrics is seeking a motivated, dependable, responsible, and detail-oriented Clinical Administrative Assistant. This position will be part of an Administrative Shared Services team, providing vital support to the Department's Divisions, Physicians, and Patients. The successful candidates will undertake a variety of operational support activities, including special projects, information gathering and analysis, and inventory control.

Responsibilities:

  1. Operational Support: Assist Divisions with day-to-day operational needs, including purchasing, inventory control, and other administrative tasks as required.
  2. Calendar Management: Maintain calendars for Physicians and Division heads, scheduling appointments, meetings, and events as necessary.
  3. Communication: Handle phone calls, including patient inquiries, in a professional and courteous manner. Compose communications, including emails and letters, as needed.
  4. Documentation: Maintain organized and up-to-date files, including patient charts and administrative records.
  5. Correspondence: Fax, mail, and electronically send correspondence as required, ensuring accuracy and confidentiality.
  6. Patient Support: Update patient charts with relevant information and assist with patient inquiries and scheduling.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  1. Previous experience in a clinical or administrative setting preferred, but not required.
  2. Ability to handle multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail.
  3. Strong verbal and written communication skills, with a professional and friendly demeanor.
  4. Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  5. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic medical records systems preferred.
  6. Ability to work collaboratively within a team environment and independently with minimal supervision.
  7. Bilingual skills in English/Spanish
