Position Purpose:

The Onboarding Coordinator responsible for performing a variety of tasks, including but not limited to background and drug screens, medical surveillance, new hire paperwork, and all coordination for the new hire’s first day in support of Onboarding processes, working with internal team members, Hiring Managers, and Leadership to ensure an effective and seamless onboarding experience for all new hires. Bilingual strongly preferred (English and French) and should be able to write, read and communicate in French.

Key Job Activities:

  • Responsible for overseeing the entire onboarding process in SuccessFactors for task completion at various steps, follow up with applicable Stericycle teams as needed.
  • Initiates and monitors new hire drug screens, background investigations, I-9 and medical requirements, if applicable for the position; checks status, and follows-up with candidates and hiring managers, as appropriate.  
  • Manages the new hire background process by identifying and escalating issues/concerns based on the Background Adjudication guidelines.
  • Ensures new hires receives new hire paperwork and all paperwork for new hire has been completed.  Follows up with managers/supervisors regarding any and all missing information and verifies completeness of team member information. 
  • Monitors I-9 form for completion, ensuring both section 1 and 2 are accurate and facilitate any follow-up action as required. 
  • Validate driver qualifications and ensures new hire drivers adhere to the Department of Transportation and FMCSA regulations at the state and federal level for all pre-employment screens. 
  • Ensures compliance with all federal and state rules and regulations, company and local policies and procedures and required documentation.
  • Provide new hires with an excellent onboarding experience while maintaining a sense of urgency to get them through their onboarding steps and maintain an excellent customer service attitude when communicating with candidates and internal business partners.
  • Partner with applicable teams including Recruiting, HR Business Partners, Payroll and HR Data Compliance to proactively problem solve for new hire issues.
  • Proactively partner with the vendors and clinics to escalate any background, drug, and medical related results delay or issues.
  • Perform other duties and responsibilities, as assigned

Education:


Preferred Education: in Bachelors

Experience (North America):

 

  • 1-2 years of experience in a human resources and/or customer service or administrative role required.
  • Bachelor’s Degree preferred.
  • Demonstrates an excellent knowledge of employment laws that impact recruiting; applicant tracking systems, Excel spreadsheets, and web-based database navigation; an ability to multi-task and function well in a detail oriented environment; and, an eagerness to work in collaboration in fast moving/changing environment and demonstrate excellent written and verbal communication skills.
  • Experience with SuccessFactors or any Applicant Tracking system is a plus.
  • Must have experience maintaining confidentiality. 
  • Flexible and available to interact with employees at all levels, manage multiple priorities and a self-starter that is motivated and demonstrates initiative to meet business/department needs
  • Bilingual strongly preferred (English and French) and should be able to write, read and communicate in French
