Summary:

In this role, you will provide administrative and logistical support to Conference and Event Services, Operations, and Intelligence teams by coordinating various details for each event. You will develop conference materials and logistical information with speakers, staff, key stakeholders, and pertinent suppliers. You will support speaker presentations, manage webinars, virtual events, Request for Proposal (RFP)s, track expenditures, and evaluation for continual improvement.

Responsibilities:

  • Schedule meetings with personnel, subcontractors, and vendors to successfully execute all aspects of the events on the scheduled delivery dates.

  • Assist team with the development of meeting agendas and other event activities as assigned. Assurance and functionality of equipment, and total event logistics for all assigned events.

  • Responsible for maintaining event material inventory levels by scheduling procurement dates as needed.

  • Adhere to assigned budgets for each specific meeting, seeking guidance from Sr. or Lead for additional needs outside of assigned budgets.

  • Manage all post-event meeting duties including the finalizing of and reporting on evaluations, attendee data, budgets, and process invoices and speaker expenses.

  • Own all technical and support aspects of virtual courses and webinars, including calendar scheduling, event set up, technical support, and webinar training.

  • Own Sg2 Speaker Presentations process for requested Member and Vizient onsite.

  • Manage waitlist and vetting process for all events.

  • Liaise for the Member Center and Service team surrounding Sg2 and Vizient event related internal communications including limited to course follow ups and event updates for bi-weekly service team newsletter and registration reports.

Qualifications:

  • Relevant degree preferred.

  • 2 or more years of relevant events experience is required.

  • Strong attention to detail and excellent communication and interpersonal skills.

  • Ability to work as a team and independently.

  • Superior customer service and organizational skills.

  • Ability to prioritize and meet tight deadlines.

  • Adjust and respond to unscheduled events, resolving issues quickly and professionally.

  • Proficiency in MS Office Suites and virtual platforms such as Zoom and GoToMeeting.

  • Preferred experience in Cvent, Cvent OnArrival, SharePoint, or Polleverywhere.

  • Willingness to travel.

Estimated Hiring Range:

$59,600.00 - $86,450.00
