Description

The Coordinator, Client Services provides relationship management and service coordination between referral sources and the department. This position complete various tasks in support of the Employment Specialists, increasing their capacity to focus on job placement activities.

Responsibilities

Relationship Management

  • Establishes and maintains effective relationships with referral sources.
  • Answers inquiries regarding services to the community through individual meetings/discussions and group presentations.

Service Coordination

  • Manages all incoming referrals and assigns to appropriate JVS Counselor.
  • Manages and ensures all paperwork from referral sources is delivered completely and kept up to date.
  • Coordinates with staff and manages staffing schedules to ensure that all staffings are completed within the required time period.

Program Support

  • Maintains weekly schedule of all job coaching activities.
  • Assists the chair of the Continuous Quality Improvement (CQI) committee including facilitation of quarterly meetings and agenda development.
  • Coordinates with CQI department and staff quarterly Utilization Review of department files.
  • Monitors and runs all database reports weekly to ensure timely data entry by department staff.
  • Assists management in maintaining service delivery tracking sheets.
  • Assists in contacting clients to determine job retention status on a pre-scheduled basis.
  • Manages all requests from the funder regarding individual client billings including reconciliations.
  • May carry a small caseload, when needed, which may or may not require job coaching services in a community setting.
  • Occasional evening and weekend work may be required.

Administrative Support

  • Prepares and/or coordinates invoices, payment requests, and check requisitions including tracking and follow up to prevent outstanding interpreting invoices.
  • Annually, with guidance from the supervisor, updates and distributes interpreting agreements. Ensures proper documentation is returned for the interpreters to accept assignments.
  • Prepares monthly Division of Rehabilitative Services (DRS) billings and coordinates with Finance department to ensure timely invoicing and payment.
  • Manages and coordinates disputes of billings with DRS counselors and administrative staff.

Decision Making Authority

  • General Supervision: Makes decisions within the scope of current policies and procedures. Obtains approval for deviation in procedure.
  • Associate's degree from an accredited program or 2 years' related work experience.
  • Expert in Microsoft Office Suite.
  • Knowledge of or experience in managing the workflow of a team of individuals.
  • Knowledge of or experience working with the Division of Rehabilitative Services (DRS) preferred.
  • As this position requires visits to locations which may or may not be accessible by public transportation, must be able to drive, have a valid driver's license, vehicle insurance, and access to a reliable vehicle to travel in the Chicago metropolitan area.

    • Compensation: the minimum compensation for this position is $40,000 annually. Experience will be considered to determine final compensation.
