Your Role:

The Sr. Department Specialist is responsible for supporting specific activities within the legal department or function.

  • Provide support directly to the legal department leadership.
  • The successful candidate must have demonstrated results in multi-tasking, thinking critically, and offering solutions.

What You'll Be Doing:

  • Serve as the subject matter expert for various administrative functions and policies, including, but not limited to, travel, creating & tracking legal matters, routine office purchasing, and performs clerical duties.
  • Assist leadership with coordinating complex meetings including calendaring, preparing materials, sending out communications, and handling logistics.
  • Create and prepare correspondence, revise presentations, and maintain spreadsheets.
  • Coordinate complex travel arrangements for both domestic and international travel including organizing travel schedules, meetings, and logistics. Process and archive corresponding expense reports/receipts.
  • Involvement with project management, event coordination, and corporate meeting planning.
  • Updates and develops desktop procedures and internal processes.
  • May train or provide guidance to others.
  • May be responsible for budget tracking and review of invoices.
  • Assist leadership team with troubleshooting issues related to equipment and software.
  • Handle special requests and supply orders.
  • Update and maintain intranet sites, SharePoint sites, and various other systems.
  • Handle logistics for new hire and contractor onboarding, including account/equipment/office space set up, first day activities, and general Baxter systems/facilities introduction.

What You Need:

  • College degree or working towards one preferred.
  • Minimum 5 years' in a related field preferred.
  • Demonstrated proficiency with Internet/Intranet applications and research and strong knowledge of Excel, PowerPoint and Word.
  • Ability to multi-task, independently manage time and be detail oriented.
  • Excellent oral and written communication skills to effectively communicate with internal and external high-level executives.
  • Project management experience preferred.
  • Thinks strategically, sees the big picture and understands impact on the business.
  • Displays sense of urgency.
  • Capable of responding to changing situations and reprioritizing work as necessary.
  • A self-starter with the ability to problem-solve and multi-task in a fast-paced environment.
  • Potential for working outside of normal office hours as necessary.
  • Ability to establish and maintain working relationships.
  • Professional and positive work ethic.
  • Poise and tact in all circumstances.
  • Flexible, a team player, and uses sound judgment.

We understand compensation is an important factor as you consider the next step in your career. At Baxter, we are committed to equitable pay for all employees, and we strive to be more transparent with our pay practices. The estimated base salary for this position is $60,000.00 to $82,500.00 annually. The estimated range is meant to reflect an anticipated salary range for the position. We may pay more or less than of the anticipated range based upon market data and other factors, all of which are subject to change. Individual pay is based on upon location, skills and expertise, experience, and other relevant factors.
