A Brief Overview:
The Correspondence Representative is to perform the day-to-day correspondence activities within the SBO business location. Serves as part of a team of correspondence representatives at the SBO location responsible for sorting and distributing incoming correspondence, performing address updates, and scanning along with indexing documents into the document imaging system. The Correspondence Representative should be able to adapt to change in priorities, work assignments, and other factors to ensure job expectations are met.

What you will do:

  • Prepare file batches for entry into optical imaging system by removing staples, paper clips, duplicate forms and forms not needed.
  • Prep documents ready to be scanned.
  • Understand how to create/view/edit print image files.
  • Produce legible, digital copies of documents for retention purposes.
  • Index batches of data once scanned into the imaging system.
  • Ability to analyze & notate system pertaining to a wide variety of documents which contribute to other departments within SBO.
  • Ability to communicate effectively in writing as appropriate for the needs of the audience.
  • Ability to process and handle confidential information with discretion.
  • Index batches of data once scanned into the imaging system.
  • Prep the account for the next step of the account resolution based on auditor or insurance carrier request i.e. request medical records, print itemized bills.
  • Ability to analyze & notate system pertaining to a wide variety of documents which contribute to other departments within SBO.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Escalate problem accounts to team lead or supervisor/manager to obtain additional guidance toward resolution of account.
  • Ability to make independent decisions and judgments on routine procedural issues.
  • Appropriately update patient accounts in Epic with provided information.
  • Document account appropriately of actions taken.
  • Review and analyze account history (and related accounts) to assist in resolution.
  • Ability to make independent decisions and judgments on routine procedural issues.
  • Ensure return mail status is removed from account.
  • Other duties may be assigned as necessary to support other SBO departments.

What you will need:

  • High School General Studies Required
  • 1 Year of general office experience, required.
    And
  • 1 Year of experience in a healthcare financial setting, preferred.
  • Ability to use basic computer proficiencies. PC applications in a Windows environment, minimum, with MS Word and Excel, preferred.
  • Ability to build positive working relationships within the immediate work group.
  • Ability to constantly evaluate and prioritize workload.
  • Ability to quickly problem solve and identify appropriate issues for escalation to team lead or team supervisor/manager.
