The Onsite Event Specialist is the day-of onsite primary client point of contact for assigned programs and events. Responsible for the onsite execution of all program and event logistics, ensuring exceptional client/guest experiences by providing superior customer service for Maritz Global Events onsite operations. Additionally, responsible for maintaining and auditing assigned internal event spaces.

Scope

Coordinate onsite logistics, and provide support to clients, attendees/guest, account teams, and service partners (Catering, Facilities, Security, Production, Transportation, Audio Visual, Janitorial). Maintains and audits assigned internal event spaces. Manages team resource documents and various projects as assigned by manager.

Reporting and Working Relationships

  • Reports to Operations Manager, Onsite Events

  • Works closely with other Event Managers, Sr. Onsite Event Specialist, Event Hosts and Guests

Primary Responsibilities

60% - Event Operation Logistics:

  • Manages all onsite logistics for assigned program/event: transportation, registration, hospitality desk, catering, facilities, activities, technology and executive/VIP handling.

  • Provides guidance and is consultative to clients and guests.

  • Conforms to all corporate, department & performance policies.

  • Assists in problem solving.

  • Anticipates and resolves challenges onsite.

  • Maintains proactive, positive, open line of communication with client to ensure understanding of expectations and client satisfaction.

  • Ensures overall attendee and guest experience is exceptional by demonstrating a high level of customer service.

20% - Internal Event Space Management:

  • Responsible for regularly maintaining and auditing assigned internal event spaces.

  • Demonstrates strong attention to detail by identifying areas that need improvement.

  • Manages running list of maintenance items, submitting request and following up to ensure issue is resolved.

20% - Administrative/Project Support:

  • Manages team resource documents and various projects as assigned by manager.

Qualifications

1. Bachelor's degree or equivalent experience required. Strong preference for degree programs in hospitality/event management or equivalent hospitality experience.
2. Experience leading a team desired.
3. Excellent computer skills, knowledge of G-suite tools & ability to learn new technology quickly.
4. Professional communication, teamwork and leadership skills required. Foreign language fluency a plus.
5. Must have ability to work with a flexible schedule that could include last minute changes.
6. Must be able to handle physical demands of the position which may include but are not limited to: extensive standing, lifting, etc.
7. Must be dependable, flexible, self-directed and able to work with all levels of employees both independently and in a team.
