Summary of Job Duties:The Administrative Coordinator is a key position within the Department that will administratively support the following Vice Chairs in the Department of Pediatrics including, the Executive Vice Chair, the Vice Chair of Research, the Vice Chair of Diversity and Health Equity and the Vice Chair of Clinical Strategy. This person will be instrumental to facilitate all administrative needs for each of these high-level faculty members and work closely with other key administrative staff and pediatric administrative leadership. We are looking for someone that has an immense attention to detail and is able to problem solve, and take initiative to work independently. Interested?   • Bachelor's degree plus two (2) years of experience in general administrative office support or

  • Associates degree plus four (4) years ofexperience in general administrative office support or

  • High School diploma/GED plus six (6) years ofexperience in general administrative office support required.

Knowledge, Skills & Abilities:

  • Ability to effectively collaborate with colleagues, and internal and external stakeholders from a customer service and positive focus.

  • Experience in an institution of higher learning, working with clinical/research faculty preferred.


Additional Information:

Responsibilities:

  • Coordinates and organizes meetings/events/retreats.

  • Schedules and identifies room locations and technology needs.

  • Orders food and assisting with itinerary.

  • Processes spend authorizations and expense reports associated with meetings and travel.

  • Maintains and supports associated committees, advisory groups, calendar management of the Vice Chairs, prepare correspondence as needed.

  • Updates CV's, and keeps accurate and up to date records of trainings.

  • Works closely with the Executive Assistant to support the Department overall as needed.

  • May perform other duties as assigned.
