Job Summary:

IN THIS ROLE YOU WILL:

Be responsible for oversight of and engagement with the Registration inbox, the processing of student enrollment requests and cohort coding of students in Success and support programs, advisor assignment management in Banner. The Registration Office is responsible for disseminating University policy and procedure to students, University faculty and staff. The Office also shares information regarding registration deadlines, communicating to students how to navigate within NEIUport and the functionalities therein, directing students and University staff to the appropriate offices to assist them with inquiries that cannot be resolved in Enrollment Management.

Job Description:

RESPONSIBILITIES:

  • Disseminates policy and procedure information to students, faculty, and staff both at the Enrollment Services front counter and in the Registration Office.
  • Researches, identifies and resolves student problems, communicating to the student appropriate next steps. This includes course add/drop problems occurring during the Advance Registration and Change of Registration periods.
  • Responds to student questions which may involve exceptions to policies and regulations related to registration, grades, and tuition, credit hour overload, the pass/fail grade option, and dropped/withdrawn courses.
  • Organizes and prioritizes duties in order to provide accurate information in a timely manner.
  • Updates student records in Banner including processing changes to enrollment, student coding, student names, addresses, emails and social security numbers.
  • Communicates information regarding Enrollment Services, NEIU policies and procedures including detailed admission information for prospective students, general education policy, and graduation requirements.
  • Verifies completeness of forms submitted at Registration counter for processing such as: verification requests, transcript requests, major declaration requests, graduation applications, admission applications, requests for re-evaluation of transfer credits, requests for adjustments in academic records, address changes, among others.
  • Assists students with activating their NEIUport account and navigating the portal.
  • Helps students interpret error and informational messages encountered during registration.
  • Assists students at the Enrollment Services computer kiosks with class registration.
  • Distributes undergraduate and graduate diplomas.
  • Researches academic history changes upon request of student or faculty.
  • Gathers registration, records, and admissions related information, based upon established University and Enrollment Services policies and procedures and uses this data for the purpose of problem solving, record maintenance, and to provide information to faculty, staff, and students.
  • Reviews Cognos reports to determine accuracy of student records in Banner and to ensure that Add/Drop forms have been completed by staff when a registration transaction has been administratively processed.
  • Alerts Assistant Registrar to all problems.
  • Processes approved late registration and late withdrawal requests.
  • Assists with the processing of Semester Schedule Plans (SSPs) including individualized Study forms and Graduate Thesis Registration forms.
  • Updates and maintains student cohort records in Banner.
  • Facilitates mass enrollment for specific populations of students such as those in Early College classes and Summer Transition Program. Assists with the regular collection and reporting of Registration Office and Enrollment Services front counter statistics (i.e., nightly, weekly, etc.).
  • Provides trend data for review.
  • Runs and processes changes to the Banner SFRNOWD report.
  • Assists with the processing of Student Billing/Late Withdrawal Committee petitions, including updating Banner and maintaining the Registration Office's database.
  • Provides updates to Records Office staff so that the National Student Clearinghouse database can be updated.
  • Responds to student, faculty and staff inquiries in person, via email, on the phone, and via text message.
  • Keeps up-to-date with office procedures and expectations.
  • Collaborates with Assistant Registrar on regular job manual updates.
  • Suggests position responsibility updates to Assistant Registrar.
  • Works in other Enrollment Services areas on an as-needed basis.
  • Works occasional Saturdays (e.g., at the start of a semester).
  • Works extended hours during the week.
  • Performs other duties as assigned.

Minimal Qualifications:

1) High school diploma or equivalent.

2) Any one or combination totaling two (2) years (24 months) from the categories below:

A. course work in any discipline as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)

B. work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.


Knowledge of principles and processes for providing customer service. Knowledge of basic math, algebra, statistics, and their applications, as needed. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, data entry, designing forms, and other office procedures and terminology. Knowledge of electronic equipment, computer hardware and software, and their applications. Ability to identify complex problems and review related information to develop and evaluate options and implement solutions. Ability to understand implications of new information for both current and future problem-solving and decision-making. Ability to exhibit strong organizational skills and maintain detailed, accurate records. Ability to communicate effectively for the needs of the audience. Ability to interpret work related documents, policies, and procedures. Ability to process and handle confidential information with discretion.

Salary: $18/hour

Benefits: Comprehensive benefits package including health, dental, and vision benefits, generous time off plans, and participation in the State Universities Retirement System.

Hours: Monday through Friday, 8:30 a.m. - 4:30 p.m. (Hours may vary depending on departmental needs)
