Board of Fire & Police Commission Recruiting Coordinator (part-time)

STARTING SALARY RANGE: $37.62 - $41.85 per hour working up to 19 hours per week. Salary dependent on qualifications. The salary range for this position is $37.62 - $54.55.

JOB SUMMARY:
This position performs highly responsible, complex, and confidential office tasks under the general direction of the Board of Fire and Police Commission (BFPC). This position exercises discretion and judgment on BFPC processes, answers inquiries as appropriate, and performs oversight and management of multiple professional contracts associated with the hiring and promotional processes. Activities such as recruitment, hiring, and promotional processes comprise most of the tasks associated with the BFPC. The remainder of the responsibilities for this position consist of administrative support for the Boarf of Fire and Police Commissioners. Knowledge of the Open Meetings Act and Roberts Rules of Order would be beneficial. This position also utilizes technology to the greatest extent possible so that procedures and processes are maintained efficiently. This position reports to the Assistant Village Manager as well as the Chair of the BFPC.

JOB DUTIES:
1. Facilitates the entire talent acquisition and promotional processes for the Fire and Police Departments at the direction of the BFPC through collective bargaining agreements, village ordinances, state law, and the BFPC's Rules and Regulations.
2. Coordinates with departmental staff for ceremony scheduling and on-boarding.
3. Manages and procures all service contracts required for talent acquisition and promotional processes.
4. Maintains and creates electronic files of various confidential and non-confidential information about personnel, medical, financial, and investigatory BFPC records. Ensures these files are all maintained by the village's document retention policy.
5. Attends all meetings convened by the BFPC, takes minutes, and prepares agendas. Posts agendas and approved minutes through the village document management system. Responsible for proper public notification for all public meetings as required by law.
6. Prepares correspondence or similar documents for the BFPC Chair. Creates spreadsheets and provides analysis when requested.
7. Receives phone calls; arranges meetings, conferences, and interviews; makes reservations as necessary. Provides administrative office support as needed both on the phone and in person.
8. Serves as the subject matter expert of the recruiting module in the human experience management system for the BFPC.
9. Assists the BFPC in the preparation of the fiscal year budget; monitors expenditures in comparison with the approved budget; informs supervisor of possible overspending and makes suggestions on ways to avoid overspending. Enters, tracks, and coordinates purchases for budget accounts. Reviews invoices for accuracy, obtains receiving information, and processes for payment. Processes payments for BFPC expenditures, requisitions, and purchase order requests for invoices received.
10. Performs other duties as assigned.

SCHEDULE:
The position typically works an average of 19 hours per week. This position is required to be in the office three days/week from 9 am to 5 pm with the ability to flex time because of required evening meetings. Evening meetings are at a minimum once per month. The schedule varies depending on workload as discussed and determined by the Assistant Village Manager.

QUALIFICATIONS:
1. Minimum of an associate's degree or equivalency of college hours working towards a bachelor's degree in human resources, business, or a related field.
2. A minimum of three years of experience in human resources, recruiting, or a related field.
3. Proficiency with current computer technology, job-specific software, and customer service systems.
